Calendly vs RevenueHero

Calendly only books the meeting.

RevenueHero decides who gets it, keeps the split even, sends it to the account owner, and writes down why.

500+ B2B companies route and schedule leads with RevenueHero

What really sold us on RevenueHero is the excellent team and support we’ve had from implementation onward.

After RevenueHero, we've cut short the time it takes for us to give a demo to our prospects. We've been able to do it much more quicker and it's a better process for prospects as well.

With RevenueHero, I can actually have a shorter sales cycle at a really high level of complexity. It's like all the logic happens at the point of signup, which means that there are no problems for my sales team.

RevenueHero works really damn well. The percentage of qualified meetings that were getting booked on our website within the first 3 months of implementation was beyond our expectations.

When Calendly is enough

When Calendly is enough

Calendly is good at "here is my link, pick a time." It's cheap at that. The
question is whether that's still the job.

When Calendly is enough

Your job is "here's my link, pick a time"

Switching will not buy you much. Calendly does this well, and cheaply.

One booking page
People sending their own links
A simple rotation
Leave when these start showing up
5 signs you have outgrown it
ATTRIBUTION
You cannot tell which campaign produced the meeting

Calendly can attach UTMs if they sit on the link. That is not knowing where a demo came from. Usual path: ad or blog post → your form → Calendly → thin CRM record. The ad platform never sees it.

ROUTING VISIBILITY
You cannot see which rule sent that meeting to that rep

Calendly will tell you it booked. It will not tell you which rule fired. A rep asks why they were skipped. You reconstruct it from timestamps.

FAIR ROTATION
The rotation does not stay fair as the team grows

A Calendly rotation works when two people keep the same hours. It falls over across time zones, PTO, and no-shows that still count as theirs.

MATCHING
Limited matching capabilities

Calendly's higher plans allow matching based on company ownership. Any customisation, or matching based on other objects isn't possible.

RULE SPRAWL
Each form gets its own copy of the routing rules

Twenty-eight forms, twenty-eight routing forms. Change a territory, change it in every one.

You have outgrown "pick a time"

RevenueHero routes, matches and logs every meeting, and tells you why it went where it did.

Calendly
UTMs only if they sit on the link. Easy to lose between the form and the booking.
You only learn a rep got the meeting from the calendar invite.
Owner matching is limited to contact or company ownership.
Every rule is updated by hand.
Your form, plus a mirror routing form to maintain.
Great if 1:1 booking links over email are all you need.
RevenueHero
revenuehero logo
UTMs, form, page, rule, assignee and outcome, all passed to your CRM.
Every booked meeting gets a log of each step that decided where it went.
Match on opportunity, account, contact or lead, with filters for tie-breakers.
List-based territories, so one change reaches every router.
One snippet on the form you already run.
Included, with embeddable content and branding. If personal links are all you need, this alone isn't a reason to switch.

Where Calendly still wins

Better personal link. Costs less. Team routing on Teams is cheaper per seat than we are. If the job is a link in a signature, stay.

If the job is a link in a signature, stay.

What the gap costs you

Ops time
Every new campaign page is another copy of the rules.
Marketing still cannot join an ad to a meeting that happened.
The queue becomes a fight.
Nobody can open a reason.
How it works

Replacing Calendly

You keep the CRM and the forms. What changes is the decision after submit.

Frequently asked questions

Is this a more expensive Calendly?
No. Calendly books the meeting. RevenueHero decides who gets it, keeps the split even, and writes down why. If you only needed a link, stay.
Can we keep personal Calendly links?
Yes. 1:1s and recruiting can stay. Website demos, ads pages, and handoff move.
Can I cancel my subscription?
Do we rebuild routing on every landing page?
No. One router covers every page on that form.
Can I change plans mid-year?
How long is the free trial?
We offer a commitment-free trial period of 14 days.
Can we route on company size as a number?
Yes. Calendly wants that rewritten as a dropdown first. We read the number on the form or from the CRM.
Does this work if Calendly was never in the CRM?
Yes. First win is the booking creating the contact instead of a rep doing it after the call. That is not why most inbound teams switch. They switch when source, fairness, or “why that rep” breaks.
Doesn't Calendly already route to the owner?
On Teams or Enterprise, yes — Salesforce owner or HubSpot contact/company owner. The gap is everything stacked on that check: open opp, then named account, then territory, then catch-all, skip the owner who is not taking inbound, and a log of which rule fired.
What happens to existing Calendly links?
They stay until you cut over.
